Meeting Policies
We’re committed to the safety and well-being of all our in-person 2022 Annual Meeting Live+ (Annual Meeting) registrants. As such, we continue to closely monitor the evolution of the pandemic and the path of vaccination globally.
You’re highly encouraged to monitor travel advisories, restrictions, and quarantine measures offered by your own country and the country/ies you plan to visit. For more information, visit these websites:
We invite you to learn more about our Health Policies and Waiver, which by reference are also incorporated here. Set out below are other in-person Meeting policies, including our cancellation, refund, and substitution policies. All in-person attendees will be expected to comply with our Health Policies.
Fees and Registration Requirements
All registrants for the in-person Annual Meeting must be registered. Your registration entitles you to participate in the in-person Meeting and access the virtual platform. No additional payment is required to access the virtual Meeting for in-person registrants. However, additional fees may be required for add-on events in the virtual platform.
If you wish to convert your registration to a virtual registration, please contact INTA Member Operations. No conversion of in-person registrations will be processed onsite.
Bulk Discounts
Corporate registrants (Regular, Small-Medium Sized Enterprises, Non-Profit [Regular], University) are eligible for bulk discounts. In addition, for every three fully paid registrations for the in-person Annual Meeting, the fourth registration for the Annual Meeting is complimentary.
Associate registrants (Associate and Non-Profit Associate) are eligible for bulk discounts. For every five fully paid registrations for the in-person Annual Meeting, the sixth registration for the Annual Meeting is complimentary.
Bulk discounts are not available to Academic, Individual Associate, and Transitional Members. For information regarding tuition assistance, please see our policy below.
Committee Meetings
All committee meetings will be conducted in person. Therefore, you must be registered for the in-person Annual Meeting to attend your committee meeting. Those who register for the virtual Meeting will benefit from a post-committee meeting with INTA leadership in the virtual platform.
Member and Non-Member Registration Rates
To enjoy the member registration rate for the Annual Meeting, your organization must already be a member in good standing for 2022 at the time of registration.
If your organization chooses not to renew its membership and proceeds with your Annual Meeting registration, you will pay the non-member rate. However, the difference between the member and non-member registration rate will not be refunded if your organization renews for the 2022 membership year after you have registered for the Annual Meeting.
Payment
Payment for the Annual Meeting registration is by credit card only and through our online system. All payment is due upon registration.
Tuition Assistance
Tuition assistance for the Annual Meeting is available to eligible practitioners who have a total individual income of less than US $35,000 a year or are currently unemployed. Proper documentation will be required. For more information or to request an application, please contact us.
Cancellations, Refunds, & Substitutions
If INTA is prevented from hosting the Annual Meeting you registered for as a result of any cause beyond its control, or due to acts of God, strikes, labor disputes, government requisitions, restrictions or war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any other comparable calamity, casualty or condition (collectively a “Force Majeure”) INTA shall have the right to terminate the affected Annual Meeting without liability immediately and shall be relieved of its obligations to you. If the in-person Annual Meeting is terminated due to a Force Majeure occurrence before the first day of the Annual Meeting, then you may seek a refund of US $500. This represents the difference in price between the in-person and virtual Meeting. In this situation, no cancellation fee will be applied. However, if you do not wish to participate in our virtual Meeting, you may seek a full refund. In this instance, no cancellation fee will be applied.
Refunds
For consideration of a refund outside of the Cancellation scenario discussed above, submit your Refund Request Form to INTA Member Operations stating in detail the reason for the refund request and including copies of relevant supporting documents for the refund request.
Full refunds for the registration fee paid will be issued only if a cancellation request is received by Friday, April 1, 2022, 11:59 pm United States Eastern Time.
Full refunds for the registration fee, minus a cancellation fee of US $150, will be issued for cancellations requested after Friday, April 1, 2022.
No cancellation requests will be accepted, and no refunds will be given beyond Friday, April 22, 2022, 11:59 pm United States Eastern Time.
Substitutions
Your base registration for the Annual Meeting and any additional related events is transferable to another person affiliated with your member organization umbrella.
To facilitate the substitution process, please submit your Substitution Request Form to INTA Member Operations, stating in detail the reason for the refund substitution and the person attending in your place.
Badges & Admittance
Badges
All Annual Meeting registrant badges will contain a QR code hosting the following information: Registration ID, Preferred Name / First Name, Last Name, Registrant Email, Organization Name, and Organization location/jurisdiction. All Annual Meeting registrant badges will clearly display: Preferred Name / First Name, Last Name, Organization Name (if available), and Country/Jurisdiction.
Once you have picked up your badge, it must always be worn throughout the Annual Meeting to access all Annual Meeting activities, including meeting and hospitality spaces at hotels in INTA’s hotel block.
Children, guests, and any other unregistered individuals will not be admitted. No exceptions will be made.
Registrants will only be allowed to collect their own badge. Printing of badges on behalf of other registrants is strictly prohibited.
Anyone found counterfeiting, copying, sharing, and/or using badges from past meetings may be subject to sanctions, up to and including removal from the Meeting (both the in-person and virtual events) and revocation of INTA membership.
Badge Reprint Policy
Onsite, a US $100 fee will be charged for the first reprint of a lost or misplaced badge. A US $300 fee will be applied to a second reprint. Badges will not be reprinted a third time.
Use of the Virtual Meeting Registrant Member Directory and Other Networking Tools including INTAConnect, INTA’s AI-empowered appointment, and networking tool.
During registration, you are given the option to share your information in INTAconnect, INTA’s AI-empowered appointment, and networking tool. This will be the Annual Meeting registrant directory accessible to all registrants (opt-ins only).
All information in our Member Directory and INTAconnect is entrusted to registrants only for personal use. The use of this information for any other purpose, such as unsolicited electronic communication, is expressly prohibited. The same applies to the unauthorized sale or distribution of information obtained from the Membership Directory and INTAconnect. Violation of this policy may subject the member to sanctions up to and including revocation of your organization’s membership.
Hotel
You must be registered, and all payments must be received before you are eligible to reserve your hotel room within the INTA block. Following payment, you will be directed to the Hotel Reservation page to reserve your room online. Please note that the Meeting rate is limited to one room per registrant and that the INTA rate is based on availability.

Onsite Badge Collection
All registrants must pick up their badge onsite at Badge Collection in the West Salon of the Walter E. Washington Convention Center. Registrants will only be allowed to collect their own badge. Printing of badges on behalf of other registrants is strictly prohibited.
Onsite Registration
Onsite registration will not be offered for the Annual Meeting for health and safety reasons.
Guest Registration
Currently, guest registration will not be offered for the Annual Meeting for health and safety reasons.
Participation Requirements
Access
Only persons registered for the in-person Annual Meeting will have access to the Walter E. Washington Convention Center (Convention Center). However, as you are an in-person Annual Meeting registrant, you will also be registered for the virtual Meeting and have access to the virtual platform. Please refer to our virtual Meeting policies for access information and other details.
Any costs associated with your attendance for the in-person Annual Meeting shall be paid solely by you, and we shall have no liability for such expenses.
Annual Meeting Content
You acknowledge and agree that INTA, in its sole discretion, reserves the right to change aspects of the Annual Meeting, including but not limited to the Annual Meeting name, themes, content, program, speakers, hosts, moderators, venue, and time.
INTA shall record selected Annual Meeting content, and it will be accessible to registrants until Friday, August 5, 2022.
Use of Likeness
By participating in the Annual Meeting, you acknowledge and agree to grant us the right at the Annual Meeting to record, film, live stream, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to INTA includes the right to edit such media, use the media alone or together with other information, and allow others to use or disseminate the media. All media becomes the property of INTA.
Disclaimer of Warranties, Limitation of Liability
We give no warranties regarding any aspect of the Annual Meeting, or any materials related to it or offered at these events and disclaim all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness, and merchantability. The Annual Meeting is provided on an “as-is” basis.
The speakers, registrants, or sponsors’ views, opinions, and positions at the Annual Meeting are theirs alone. They do not necessarily reflect the views, opinions, or parts of INTA or any employee.
We make no representations of accuracy, completeness, timeliness, suitability, or validity of any information presented by speakers, registrants, or sponsors at the 2022 Annual Meeting Live+. We will not be liable for any errors, omissions, or delays in this information or any losses, injuries, or damages arising from its display or use.
We do not endorse and expressly disclaim all liability relating to any of the products or services provided by speakers, registrants, or sponsors.
Except as required by law, neither INTA nor its affiliates shall be liable for direct, indirect, special, incidental, or consequential costs, damages, or losses arising directly or indirectly from the Annual Meeting or other aspects related to it or in connection with the Annual Meeting.
The maximum aggregate liability of INTA for any claim in any way connected with, or arising from, the Annual Meeting Live+, whether in contract, tort, or otherwise (including any negligent act or omission), shall be limited to the amount paid by you to us for Annual Meeting.

Privacy Notice to Registrants on Personal Information Collected by INTA
INTA collects personal information to enable your Annual Meeting registration, including Record ID from INTA’s Membership Database, Preferred Name / First Name, Last Name, Registrant Email, Organization Name and Organization contact details, and your reserved sessions and other contact details. This information may be shared with select third parties that perform services for INTA in connection with the Annual Meeting, including virtual platform, database management services, sponsors, and networking tools, when applicable.
Respecting Our Event & Intellectual Property
Code of Conduct
Our Annual Meeting is an opportunity to share information, increase knowledge, network, and build business relationships. We encourage the open exchange of ideas, support professional development and personal growth by ensuring our global membership’s diverse range of voices are represented. INTA is dedicated to ensuring that our events and affiliated gatherings are an inclusive, respectful, productive, and harassment-free experience for everyone.
Intellectual Property
All intellectual property rights in and to the Annual Meeting, the Annual Meeting content, and all materials distributed at or in connection with the Annual Meeting are owned by INTA or the Annual Meeting sponsors or speakers presenting at the Annual Meeting.
Accordingly, you may not use or reproduce or allow anyone to use or reproduce any:
- Trademarks or other trade names appearing at the Annual Meeting
- Annual Meeting content, or
- Materials distributed at or in connection with the Annual Meeting for any reason without the prior written permission of INTA.
Plan Your Own Event
If you plan to host a reception, client party, secure a hospitality suite for meetings, etc., please inform us in advance by filling out our Plan Your Own Event form. Please ensure that your event does not conflict with INTA-hosted events.
Although INTA reviews the event request, INTA is not responsible for the event.
Your organization will be fully liable and accountable for all matters concerning your event, including but not limited to making all payments, having adequate insurance coverage, ensuring appropriate behavior from guests, and meeting your contractual obligations with the third parties supporting your event.
We’re committed to the safety and well-being of all our in-person Annual Meeting registrants. Therefore, we expect similar health and safety measures to be implemented at your organization’s event, including that all registrants are wearing their INTA-issued badges at your event.
When promoting your event via email, we ask that you refrain from using “INTA” or “International Trademark Association” in a way that suggests that INTA is an official sponsor of your event. For example, we ask that you:
- Not use INTA or International Trademark Association in an email subject line unless the subject line also makes clear the name of the organization sponsoring the event.
- Not use INTA as part of an RSVP or other email address.
- Not use INTA in the name of a party or event (for example, please do not call your event “INTA Reception”).
Host your meeting or event at the Convention Center to take advantage of the health and safety measures put in place by the Convention Center and INTA. Indicate your interest in the form, and we will have an INTA representative contact you.
